Include access in the internet plan
For a Los Angeles event, a temporary network may need to reach a rooftop reception, a production room inside a building or a registration desk away from the main event floor. The most useful starting point is a floor plan with approved equipment positions and a realistic load-in schedule.

Share the address and date early so travel, site access, equipment availability and event-day support can be confirmed. Get permission for the entire equipment path
Ask the property manager where internet equipment can be placed and how it can connect to the event space. An antenna location is only useful if there is an approved path for power and network cabling. Roof access, locked rooms and building network connections need explicit coordination.
If elevators or loading areas have booked access windows, include those in the installation timetable. A technician arriving at the property is not the same as equipment being installed, tested and ready for registration.
For an existing venue connection, confirm whether your event has a usable wired handoff or only guest Wi-Fi. Ask who can change access settings and respond during event hours.
Separate production traffic from attendee use
A launch with live remote participants or a demonstration uploading media has different needs from a small staff network. List each high-demand activity and when it happens. Include uploads as well as downloads.
If there is a camera crew, ask whether it needs live streaming, remote review or only occasional file transfer. Those tasks should not be treated as interchangeable. Video production and connectivity support also need separate responsibilities and a shared rehearsal window.
At multi-room events, test the actual presentation and check-in positions. Do not assume that a signal visible from the lobby serves every room behind it.
Assess alternatives at the property
Cellular connectivity depends on more than a coverage map; test where the equipment can actually be installed. Satellite service needs suitable sky visibility and permission for placement. Neither technology removes building-access or power constraints.
Where a reliable approved venue connection exists, improving distribution may be more useful than bringing another internet source. Where continuity matters, evaluate what a second connection would cover and test the real application during failover.
Make the quote cover the whole day
Include travel, parking or loading arrangements, setup, rehearsal, public event hours and collection. If the site requires an earlier delivery or next-day pickup, state that before equipment is reserved.
Send the layout, venue contact and essential-device list to discuss a scoped setup. Confirm whether support is remote after handover or staffed on site, and who can authorize an extension if the program runs late.
