Connect the meeting plan to the network plan

Bring the venue and company IT team into the same conversation
Ask the venue for the specific internet service available to your booking, the handoff location and its outside-equipment policy. Ask company IT about approved devices, VPN access, identity sign-ins and any restrictions on temporary networks.
This avoids a common planning gap: the venue supplies a working connection, but the event laptop still cannot reach the required company application. Connectivity, company access controls and application support have separate owners.
For a product launch or training session, prepare a dependency list. Include video conferencing, cloud demonstrations, software downloads, remote desktops and local equipment such as printers. Share it before ordering service or scheduling a rehearsal.
Check breakout rooms and outdoor areas individually

Control the busiest agenda moments
Opening a training platform on many laptops at once can create more demand than occasional email. So can asking everyone to download a large file during the session. Where company policy allows it, distribute materials in advance and complete software installation before arrival.
For remote speakers, rehearse camera, sound, screen sharing and the fallback plan. Test with the actual corporate machine. Keep an approved local copy of the presentation and identify who can switch the program if the remote connection fails.
Specify the handover and event-day support
A setup-only booking and staffed event support are different arrangements. State whether you need someone present for registration, the keynote, breakout transitions or the entire event. Include time for loading equipment out after attendees leave.
Send the venue address, room names, agenda, device counts and internal IT contact when asking for an assessment. That information helps produce a useful scope rather than a rental chosen only by guest count.
